VNS Registration Information For The 2010 Season

For the 2010 youth club volleyball season, the annual process of registration with Volleyball Nova Scotia commences in early January.  What follows is the relevant information to assist club representatives with understanding the important information and the process.  It is hoped that the information below will provide answers and directions to most of the typical questions that a team or club may have in registering their team(s).  VNS is pleased in 2010 to provide additional registration support with Dianna Zwicker assuming the position of VNS Registrar.  

-All team and club information must be completed electronically using the designated Excel spreadsheet.  Some important points on the Excel spreadsheet.  First, the Excel program on your computer must be opened.  All sections must be completed.  It is possible that the entry may be the same for the "Club Name" and "Team Name".  Or it may be different, for example using a fictitious  club called the Schooner Volleyball Club.  Under Club Name, "Schooner Volleyball Club" would be entered, "Sou'Westers" might be entered under Team Name,  under Gender the word "Female" or "Male", nothing else must be entered.  Under Age Category scroll down the options and click on the appropriate category, let's say pick "16&U" (you must use one of the options listed, no variation).  If a player does not have their own e-mail address, a parent e-mail address must be entered.  Once completed, the Excel spreadsheet for each team a club is registering must be forwarded via e-mail to both the VNS office [ This e-mail address is being protected from spam bots, you need JavaScript enabled to view it ] and also to the VNS registrar [ This e-mail address is being protected from spam bots, you need JavaScript enabled to view it ].  We are unable to accept handwritten or faxed registration forms.

-The Volleyball Nova Scotia registration fee for 2010 is $50 per player or coach.
  This includes a $20 per player or coach registration fee with Volleyball Canada.  Fees are accepted by cheque,  money order or bank draft only, payable to "Volleyball Nova Scotia".  Coaches that participate in team warm-ups or sit on the team bench must be registered.
 
-The entry fee for the 2010 Volleyball Nova Scotia Provincial Championships is $300/team.  Again, provincial championship entry fees are accepted by cheque, money order or bank draft only, payable to "Volleyball Nova Scotia".  Boys and girls provincial championships will be held for the following age groupings:  14U, 15U, 16U and 18U.  Past practice has been to have Tier I and Tier II competition at the 16U and 18U levels and open competition with re-pooling after the first day of the championships at the 14U and 15U levels.  Please include your provincial championship entry fee with your team/club/registration fees.
 
-Registration Deadline.  Teams must be registered before competing in VNS sanctioned regular season tournaments, which will commence in late January.  These tournaments are hosted by club teams and will be posted on the VNS website.  The results from these tournaments are also used to seed the VNS provincial championships.  A coordinated approach to scheduling age group tournaments is planned for 2010 to ensure a suitable distribution of tournaments throughout the club season.  The absolute deadline for registering a team for the VNS championships is March 26.
  
-Indication Of Planned Entry to VNS Provicials and Volleyball Canada Nationals.  If your team is not planning on participating in the VNS Provincial Championships or the Volleyball Canada Eastern Canadian 14U/15U/16U Championships in Sherbrooke, Quebec, or the Volleyball Canada 17U/18U Nationals in Abbotsford, BC, please indicate this in the e-mail in which you forward your VNS registration Excel form.

-To compete in any Volleyball Canada National Championship, teams must first compete in the Volleyball Nova Scotia Provincial Championships. 


-The dates for the VNS provincial championships for each age and gender grouping
will be on one of three weekends:  April 17/18, April 24/25 or May 1/2.  When finalized, the dates and sites for each age and gender championship will be posted on the VNS website.

-The entry fees for the Volleyball Canada national championship program for 2010 and 2011 have been set and are $775 for 14U only and $875 for 15U/16U/17U/18U.

-VNS will pay the Volleyball Canada national championship entry fee for the one team with the highest placement in the VNS championships that attends the national championships.  Note that VNS does not have a 17U provincial championship.  As such, this age grouping is not included in this reward program.  But a team composed of players born in 1993 or later can compete in the VNS 18U category for regular season and VNS championship play but enter the Volleyball Canada 17U Championships.

-Registration for the Volleyball Canada national championships commences on January 15.  Again, you must first be registered with VNS to register for a national championship.  All the Volleyball Canada age group national championships are filled on a first come, first served basis.  These tournaments fill up quickly so please be advised to be organized so that your team will not be disappointed.  In the past, some Nova Scotia teams have been disappointed by not being accepted due to early filling of the national championship team limits.  More details on the Volleyball Canada registration protocol will be added to this section when available, but be advised that there is duplication of data entry on each athlete and coach and there is only one option for payment of the entry fee, which is  via credit card at the time of registration.

-National Championship Dates.
  The Volleyball Canada Eastern Canadian 14U/15U/16U Nationals will be held in Sherbrooke Quebec, on May 7-9 while the Volleyball Canada 17U/18U Nationals will be held in Abbotsford, BC, on May 14-16. 

-Coaching Certification Requirements for VNS Provincial Championships and Volleyball Canada national championships.  Normally, the standard is full certification (technical/theory/practical) Level I to coach at the 14U/15U/16U provincial or national championships and full certification (technical/theory/practical) Level II to coach at the 17U/18U provincial or national championships.  That being stated coaches may apply to the VNS Executive Director for an Exemption Card if demonstration of advancement towards these standards is evident.  The Excel spreadsheet only has a box to enter the NCCP # for each coach.  VNS also requires the following information on each coach to be listed separately in the e-mail in which the Excel spreadsheet registration is forwarded:  Highest level and date of completion for each of the following for each coach:  NCCP Technical, NCCP Theory, NCCP Practical.  Example:  Head Coach-Clara Jackson, NCCP/CAC#6953, NCCP Level I Technical Completed December, 2007, NCCP Level I Theory Completed February, 2008, NCCP Level I Practical Completed May, 2008.  Coaches without NCCP certification can be registered but one coach for each team must by time of the provincial championships complete the required certification or qualify for an Exemption Card.  

-Age Groupings For The 2010 Season For Volleyball Nova Scotia and Volleyball Canada: 
14U-born in 1996 or later, 15U-born in 1995, 16U-born in 1994/95, 18U-born in 1992/93.
 
-Overage Players - For 2010 - A New Volleyball Canada Overage Exemption Policy Adopted By VNS. 
Only at the 18U level, each team may have 2 overage players: up to 19 years old and in their first year of grade 12, having not been held back in school at any time.  Teams wishing to take advantage of this new program must forward to the VNS Executive Director two letters:  one from the athlete and one from the athlete's parent/guardian both noting the following:  player's date of birth,  the date and school of the player's initial registration in grade one, indication that the player has never been held back in school and indication that the player is in his/her first year of grade 12.  This documentation is to be forward by mail to the VNS office at the time of team registration.  Additional documentation may be requested.  VNS is unable to allow overage players in any other age grouping.

-Playing Up.  VNS clubs are free to have underaged players within the same club "play up" to an older age group during the course of the regular season.  This is not possible after the March 26 VNS deadline for roster finalization.

-Benefits Of VNS Registration
-provision of liability and sport accident insurance for all registered players, coaches and club staff.  This is often necessary to secure gym rentals for practices and hosting tournaments. 
-ability to play in and host VNS sanctioned regular season tournaments
-ability to play in VNS provincial age group championships
-ability to apply to host a VNS provincial championship
-inclusion on VNS coach and player communications about coach and player development opportunities
-ability to play in the Volleyball Canada national age group championship program
-payment of the entry fee by VNS for the Volleyball Canada National Championships for the team that places highest in the VNS championships and attends the national championship in the same age grouping.
-ability for players to attend VNS provincial team tryouts and for those selected to play on VNS provincial teams.
-access to VNS officials when hosting tournaments.
-registration with Volleyball Canada.  This is $20 of the $50 VNS registration fee.
-ability to host player and coach development sessions with successful securement of a VNS Technical Director.
